Working With Us

Most couples planning from abroad find wedding planner fees in Spain hard to read from the outside, and the scope behind them even harder. This page sets out the complete picture of a full-service engagement with Spain4Weddings: what it includes, what sits outside it, what it costs, and how we begin.

If you have already written to us, read it before our call. It means we can spend that hour on your wedding rather than on explaining how we work.

What full-service means here

It means you make the decisions and we carry everything else.

Not a list of recommended vendors and a shared spreadsheet. Not a coordinator who appears six weeks before the date. From the first conversation to the last guest transfer, your wedding is directed by José, a senior planner with more than 23 years of experience, together with a team of multilingual wedding planners. Between them, they hold the entire structure of your wedding: the criteria, the negotiations, the budget, the timings, the contingencies, and the room where it all happens.

You are planning a wedding in a country whose language, contracts, working culture and vendor market are not yours. Our work is to remove that distance completely.

What our wedding planner fees in Spain include

What sits outside the service

We are precise about this, because scope confusion is where trust breaks.

Legal paperwork. We do not process or advise on the civil formalities of marrying legally in Spain. Most international couples complete the legal marriage at home and hold their ceremony here as a celebration, which is simpler, faster and entirely without administrative risk. If you want to understand the Spanish requirements, we explain them in detail in our guide for foreign couples.

Vendor costs. The planning fee is our professional fee. Venue, catering, florals, music, photography and everything else are contracted and paid separately, within the budget we build together.

Items of a personal nature. Flights, personal insurance, gratuities, personal purchases and anything not specified in our agreement.

On wedding planner fees in Spain

The objection we hear most often is a fair one: a planning fee is real money, and it buys nothing you can photograph.

Here is my answer.

What you gain. Access to a vendor market you cannot see from abroad, at prices we know are correct because we contract in it every week. Contracts read and negotiated in Spanish, with the clauses that matter to you actually present in them. A budget that holds, because it was built by someone who knows what a wedding of your size genuinely costs in this country. And a year in which you are planning a wedding rather than managing one.

What you stop losing. This is the part couples underestimate.

A venue chosen from photographs and a virtual tour, discovered too late to be the wrong distance from where your guests are staying. Quotes that arrive twenty to forty per cent above local rates because the enquiry came from abroad. A non-refundable deposit placed with a vendor who was never right for the wedding. A catering contract that quietly excludes the staff, the rentals or the late-night service you assumed were included. Time difference, unanswered emails, and the slow understanding that August in Spain is not a working month. And on the day itself, the absence of anyone whose only job is to protect the thing you built.

In the weddings we take on, the fee is routinely smaller than the difference between a well-negotiated wedding and a badly negotiated one. That is not a sales argument, it is arithmetic we can walk you through on the call using your own numbers.

Why couples choose us

Spain has many wedding planners. Very few of them do this.

More than 23 years, and all of Spain. We are not a regional operator with one venue list. We plan across Barcelona, the Costa Brava, Sitges, Mallorca, Ibiza, Andalusia and Valencia, which means we can tell you honestly when the region you have in mind is the wrong one for the wedding you are describing.

José directs your wedding. Not an account manager, not a junior assigned to your file. The CEO and senior planner you will meet is the one who directs your wedding from start to finish, with a team of multilingual wedding planners working alongside him on every detail.

A team that speaks your language, and ours. Our planners work across several languages, so nothing is lost between you and the people building your wedding here.

We take on a limited number of weddings each year. It is the only way to give each one the attention it needs, and it is why availability for a given date is a genuine question rather than a technique.

Investment: how we set our wedding planner fees in Spain

Full-service planning fees start at €5,000 + VAT and are set according to the type of wedding.

Our wedding planner fees in Spain depend on the scale of your celebration, the number of days and events involved, and the complexity of your guest logistics. Smaller celebrations are quoted on a different basis. We will give you a precise figure after our call, not before, because quoting a wedding we have not yet understood is how planners are wrong about money.

Terms are straightforward: fifty per cent on signature, which secures your date and begins the work, and the balance fifteen days before the celebration. Payment by transfer, card or PayPal.

How we begin

One. A video call. Both of you. We talk through your date, your guest count, the shape of the celebration you want and the budget you have in mind. You will leave that call with a clear view of what your wedding could look like in Spain, whether or not you go on to work with us.

Two. Your proposal and agreement. A written scope built around your wedding specifically, with the fee confirmed.

Three. Signature and deposit. Your date is secured and planning begins the same week.

We would rather have that conversation early than late. Dates in Spain move quickly, and the venues worth having are contracted a long way ahead.
