Wedding Planner Ibiza — Full-Service Planning for International Couples

You didn’t choose Ibiza because it was easy. You chose it because it’s unlike anywhere else — the light, the landscape, the way the island holds its own particular version of beauty without asking permission. Now the question is how to actually make it happen, from wherever you live, across a time zone and a language barrier, with vendors who don’t respond on Fridays and a legal system that rewards patience above all else.

That’s where we come in.

Spain4Weddings is a full-service luxury wedding planning company operating across Spain. We’ve been planning weddings for international couples — primarily from the US, Canada, and the UK — for over 20 years. Ibiza is one of the destinations we know best: its venues, its vendors, its seasons, its quirks, and the honest answers to the questions couples don’t always know to ask.

We don’t offer packages off a shelf. We plan your wedding. Every detail, from the first conversation to the moment you leave the island.

Why Ibiza

Ibiza has two reputations, and most couples planning a wedding here are drawn to neither of them. They’re not after the club circuit or the family-friendly resort version. They want what lies beneath both: an island of extraordinary natural light, ancient stone, wild herbs, and a coastline that hasn’t fully decided whether it belongs to the sea or the sky.

The island offers a range of settings that few destinations in Europe can match within such a compact geography. You can marry at a converted finca in the interior surrounded by almond and carob trees — remote, private, entirely unhurried. Or at a clifftop villa above the sea, where the ceremony and the view compete for your guests’ attention. Or in the shadow of the Dalt Vila, Ibiza’s UNESCO-listed old town, where the walls are older than the concept of a guest list.

Practically speaking, Ibiza also delivers. The season runs long — April through October reliably, with September and October offering some of the best conditions of all: golden light, smaller crowds, and vendors who are still at their peak after a full summer of work. Accommodation options range from boutique rural estates to high-design hotels. Getting guests there is simple; Ibiza Airport connects directly to major hubs across the UK, North America, and Europe.

What We Do

Full-service means full. Not «we’ll find you a venue and introduce you to some vendors.» Full.

Venue sourcing and negotiation. We know the properties on this island — the ones that photograph well but deliver poorly on day-of logistics, and the ones that don’t make the listicles but run immaculately. We visit on your behalf, assess honestly, and negotiate contracts with your interests protected.

Vendor curation. Catering, photography, floristry, music, hair and makeup, transportation, officiant, lighting — every vendor on your wedding day has been selected by us and has a track record we stand behind.

Legal coordination. If you want to marry legally in Spain, the paperwork begins months before the wedding. We guide you through what’s needed, what order it goes in, and what the realistic timeline looks like.

Guest logistics. International weddings mean guests traveling from multiple countries. We handle accommodation blocks, transfers from the airport, pre-wedding welcome events, and any activities you want to build around the wedding itself.

Design and creative direction. We work with you on the visual language of the day — styling, florals, table design, ceremony setup — so that what you see in your head is what appears at the venue.

Day-of coordination. Our team is on-site from setup to close. We manage every timeline, every vendor, every unexpected moment that you will never know happened.

Pre- and post-wedding support. A wedding weekend in Ibiza is rarely just one day. We plan everything around it — the day before, the day after, the brunch that goes too long, the boat trip that becomes the thing everyone talks about for years.

What Couples Underestimate About Getting Married in Ibiza

The legal timeline is not flexible. Spain requires specific documents authenticated in your home country, translated by a sworn translator, and submitted to the correct civil registry within a window that does not accommodate procrastination. Couples who begin this process six weeks before the wedding do not have a civil ceremony.

Ibiza in high season is a logistics puzzle. The island operates at full capacity from late June through early September. Accommodation fills. Transfers are contested. Vendors are stretched. The couple who books everything eighteen months out has a meaningfully different experience than the couple who starts planning eight months out.

Scenic does not mean functional. Some of the most beautiful properties on the island have serious operational limitations — noise curfews that end the night at midnight, kitchen facilities that can’t support a full banquet, loading areas that don’t accommodate the production your vision requires.

The exchange rate conversation. Couples budgeting in USD or GBP need to plan for currency movement over a planning period that can span one to two years. It’s not a reason to hesitate — but it’s a number worth building into your thinking from the start.

Vendors who say yes to everything. On a destination wedding circuit, some vendors are very good at telling international couples what they want to hear. We’ve spent two decades building relationships with the people who tell us what’s actually possible.

Frequently Asked Questions

Do we need to be in Ibiza to plan our wedding there? No. The vast majority of our planning work happens remotely — video calls, shared documents, detailed proposals sent for your review and approval. Most couples visit Ibiza once during the planning process, typically for a venue visit and vendor meetings that we arrange and accompany you to.

Can we have a legally binding wedding in Ibiza as a US, Canadian, or UK couple? Yes, though the process requires advance planning. Spain recognizes civil marriages performed on Spanish territory, and the documents required from foreign nationals are specific and must be processed in the correct order. Couples who prefer to legalize at home also have that option — it simplifies the paperwork considerably, and it’s more common than you might think.

What is the best time of year for a wedding in Ibiza? May, June, early July, September, and October are the months we most often recommend. High summer — late July and August — is peak tourist season: hotter, more expensive, and operationally heavier for vendors and venues. September in particular offers exceptional conditions: warm evenings, lower humidity than midsummer, and a quality of light that photographers actively seek out.

How much does a wedding in Ibiza typically cost? It varies significantly based on guest count, venue category, catering format, and the scope of production. As a general reference, international couples planning a luxury destination wedding in Ibiza typically invest from €50,000 upward, with weddings in the €80,000–€150,000 range being common for our client profile. Our planning fees are separate from vendor costs and are discussed in full transparency from the first conversation.

What makes Spain4Weddings different from local Ibiza coordinators? 20+ years of experience planning specifically for international couples. We operate across all of Spain, which means our vendor relationships and venue knowledge extend beyond any single island or city. We are full-service in the complete sense — we don’t hand you a vendor list and step back. We manage everything, top to bottom.

Do you only work with large weddings, or do you plan smaller, intimate celebrations too? Both. We plan intimate weddings of 20–30 guests with the same level of attention as larger celebrations of 100 or more. In Ibiza particularly, we work with couples who specifically want to avoid scale — a small group, a private property, a dinner that feels more like a very elevated gathering than a formal event.

Ready to Start?

Most couples who contact us don’t know exactly what they need yet. They know they want Ibiza, they know they want it done properly, and they want to speak with someone who can give them an honest picture of what that looks like — timelines, costs, what’s possible, what isn’t.

That’s the conversation we start with. No commitment, no pressure. A video call with our team to understand your vision and tell you plainly whether we’re the right fit for it.
